Search for free optical software and nearly every result says "free". Very few say what you get. The word covers a free plan that is limited in scope, a free trial that expires, a free download of old software, and a demo that is really a sales call. Picking the wrong kind costs you weeks of setup. This guide explains what "free" means in optical software, what OptoSoft's free plan covers and does not cover, and how to decide whether it fits your shop.
What "free" can mean in optical software
There are four common meanings, and they behave very differently:
- A free plan — you can use a defined part of the product for as long as you like, at no charge. The catch is scope: it does a smaller job than the paid plans.
- A free trial — the whole product, for a limited time. When the time is up you pay or lose access, so you need a plan for your data.
- A demo — someone shows you the product. You do not use it with your own data.
- A free download — usually older, installed software with no support or updates. See cloud vs on-premise optical software for why installed software is a different decision.
Before you spend time on any of them, ask one question: what will I still be able to do after the first month, for free?
What OptoSoft's free plan covers
The free plan covers customer/patient records and prescription (Rx) management. In practice that means you can:
- keep a digital record of each customer or patient, with their contact details;
- store their prescriptions in one place and find them again when they return;
- stop relying on paper cards or a spreadsheet for records.
That is a real, useful job. For a shop whose first problem is "I cannot find that customer's last prescription", it solves the problem. The free online optical software for prescription management page describes it in more detail. No credit card is required.
What is on the paid plans
The free plan does not include the retail side of the business. POS billing, inventory, multi-store and CRM/marketing are on the paid plans. So if you need to bill customers, track frame and lens stock, run more than one store or send marketing messages, the free plan is not enough on its own. The International plan is US$399 per store per year. See the pricing page for the current plans in your region.
| You want to… | Free plan | Paid plans |
|---|---|---|
| Keep customer/patient records | Yes | Yes |
| Store and manage prescriptions | Yes | Yes |
| Bill customers at the counter (POS) | No | Yes |
| Track frame and lens inventory | No | Yes |
| Run multiple stores | No | Yes |
| CRM and marketing | No | Yes |
Is the free plan right for your shop?
A simple way to decide:
- Start free if your biggest pain today is scattered records and prescriptions, and your billing and stock are already handled some other way that works for you.
- Go straight to a paid plan if you are opening a new shop, or your pain is billing mistakes, stockouts or dead stock. Records alone will not fix those.
- Check your own workflow first if you are unsure. How to choose optical software lists the questions to ask of any vendor, including us.
Free plan, trial or something else: how to tell
When you read any vendor's "free" offer, look for these five answers, and be wary of any that are not stated:
- Does the free offer ever expire?
- Exactly which features are included, and which are not?
- Does it ask for a credit card up front?
- Can you export your data if you leave?
- What happens to your data when you move to a paid plan?

Moving from free to paid later
Customer records and prescriptions are the part of the job you need whichever plan you end up on, which is the practical reason to begin there. Whatever vendor you choose, ask in advance how your data moves if you upgrade or leave (see the five questions above). If you later want to see what billing involves,how to bill an optical sale walks through it.
